Unlike other planners, we use a strategic, 5-phase system to guarantee you a seamless, step-by-step planning experience from beginning to end. 

Our Signature 5-Phase Planning System

Phase 1:


The initial phase of planning is just that: planning. 

In the planning phase, we’ll analyze your budget and tackle 90% of your key vendors, including your venue, caterer, photographer, and cinematographer.

Phase 2:


Once we’ve strategized and established your dream team, we move on to the pretty. 

In the design phase, we’re focused on the aesthetics of your event. We’ll book things like custom floral designs, luxury rentals, up-lighting, staging, draping, stationery and paper goods, hand-letterers, and wedding attire. Your J. Ivy designer will then create a custom Design Guide that will act as your design playbook for the entire process. 

Phase 3:


The coordination phase is where it all starts to come together.

We’ll craft your perfect timeline, contact vendors, and connect all of the pieces of the puzzle into one beautiful picture. We’ll facilitate all the moving parts of your wedding day so that it unfolds seamlessly.  

Phase 4:


The execution phase is when all the magic happens!

It’s “go time.” The week of the wedding, we’ll be sending out final timelines, handling emails, and dealing with logistics for you, and coordinating your rehearsal the night before your wedding. Then you get unlimited hours of service from us on your wedding day. It’s not unusual for us to be the first vendor to arrive and the last to leave. 

Phase 5:

Post Wedding

Time to tie up any loose ends. 

After ensuring your personal items make it into your getaway vehicle and wiping away our own happy tears, it’s back to work. Our post-wedding checklist includes things like returning rental items, following up with vendors, and whatever else is needed to complete your custom wedding experience.

You’ve already completed some of the planning on your own, but is DIY getting a little too overwhelming. We’re here to help! Partial planning begins 6 months prior to your wedding day. At that time, we’ll take over, handling any planning tasks left undone before your wedding and managing your wedding on the day of.

Do I really need full wedding planning services?

Did I hear you say you don't know where to start? You're stressed already? Yes, choosing to work with a full service wedding planner is an investment for your wedding day. You can rest assure J. Ivy Affairs will handle all of the small details that are often forgot about until the day of your wedding. Our designer has a creative eye that will blow you away on your day. We are with you every step of the way for 12-18 months planning to execute your wedding day the "J.Ivy" way!                                                                                    

What is your retainer fee and payment policy?

The initial retainer is 40% with the remaining balance due 60 days before your wedding date. We can also set up monthly recurring payments after the initial retainer fee is paid.

What budget do couples need to hire you as a planner?

We typically work with brides with a budget of 25,000 or more.

I'm a DIY bride, Do I have to purchase full wedding planning services if I only need Day of Coordinating Services? 

Absolutely not! We start working on Day of Coordinator's Weddings around 90 days prior to your date. We send out a questionnaire after you book and give you 30 days to complete it. We then start creating a timeline and will begin to confirm all of your vendors and handle the logistics of your special day. Our team will execute your wedding day smoothly while attending close to the details that are important to you.         

Will I still have some control over my wedding if I hire your team as my planner?

Of course you will! This is your wedding day, we will do as little or as much as you like; as long as its within the constraints of our contractual agreement.

Don't look at the cost of a full wedding planner as an expense, view it as an investment. Research shows that the average couple spends 200-500 hours planning their own wedding. Let J. At J. Ivy Affairs our team is well trained and ready to plan your wedding and keep you at ease. Think about how you envision your wedding day being. Do you want to call and round up vendors on the day of your wedding, round up the wedding party that went missing, tell the dj to play your first dance song.... You forgot cake knives, you forgot the rings, garter?? Who will handle unforeseen events on the day of your wedding? J. Ivy Affairs will give you an unforgettable experience you are our top priority on the day of your wedding. 


We will use two systems for communicating: HoneyBook and Aisle Planner. HoneyBook will be used for accessing the planner, setting up progress meetings, meeting recaps, uploading contracts, and our overall means of communication. Aisle Planner will be housing much of our back and forth in the comments area of each relevant checklist item, vendor tab, and Design Studio image, and we would like you to do the same. If you have detailed questions or updates that cannot wait for a meeting, please write them down in the notes section of Aisle Planner and set up a time for a call. We may have meetings, consultations, or weddings that make us unavailable for unscheduled calls. We strive to respond to any email you send us within 24 hours; however, please give us 72 hours Fridays - Sundays. We are either spending the weekend with our families or managing a wedding. Please do not text/call our personal phones.
